Conference organisers don’t need to turn case study speakers into performers.
They just need to create the conditions for their treasure to be found.
Here are 6 practical ways conference organisers can help them bring it to the surface:
1.Expand the question you ask speakers: As well as “What will you cover?” also ask:
What did this experience change for you?
What surprised you?
What should others take away?
You’ll nudge speakers out of reporting mode and into meaning-making.
2. Signal that insight matters more than chronology: Many speakers think they’re expected to tell the story from start to finish. Let them know it’s fine to lead with the learning and then explain how they got there. You’ll give them freedom to explore.
3. Offer light-touch framing support: Just a short guide or prompt like:
“What’s the principle behind your actions?”
“If someone want to apply this tomorrow, what do they need to begin?”
You’ll help your speakers elevate their experience without feeling exposed.
4. Ask speakers about their final slide or their closing takeaway: You may notice where their treasure is buried, offer it as a possibility and see what happens.
5. Champion reflection, not perfection:Let your speakers know they don’t need a flawless success story. The learning is often found in what didn’t go to plan, the tension they had to navigate, or the decision they wrestled with. This is what makes a case study more useful and more human.
6. Curate, don’t just collect:When organisers actively look for themes across case studies and reflect those back “We’re seeing a strong thread around belonging” it helps speakers see their work as part of something bigger. And strengthens their confidence and clarity.
That’s how good case studies become great conference moments.
